Visitors to our websites
When someone visits www.heyme.co.uk we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website. If we do want to collect personally identifiable information through our website, we will be up front about this. We will make it clear when we collect personal information and will explain what we intend to do with it.
Visitors may opt out of our use of Analytics by visiting the Google Analytics Opt-out page.
We will use a third-party provider to deliver our e-newsletters. We will be using mailchimp to deliver this – you can view their GDPR information here. We will gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter.
Security and performance
We use a third-party service, WordPress.com, for our website design and to publish our news. Occasionally WordPress requires visitors that want to post a comment under blogs or news stories to enter a name and email address. People who contact us via social media
We use the third-party providers, Facebook, Twitter, LinkedIn and Instagram to manage our social media interactions. If you send us a private or direct message via social media the message will be stored on the individual social media platforms. It will not be shared with any other organisations.
People who call Amy Bell
When you call Amy Bell, she will only collect the information necessary to ensure you receive an efficient and appropriate response. We may also retain some of the information where it helps with providing you with an efficient response.
We will not keep any data from you for longer than is necessary.
People who email us
If your email service does not support TLS or SSL or similar security systems, you should be aware that any emails we send or receive may not be protected in transit.
We will monitor any emails sent to us, including file attachments, for viruses or malicious software. Please be aware that you have a responsibility to ensure that any email you send is within the bounds of the law.
We will not keep any email data from you for longer than is necessary.
People who make a complaint to us
If we receive a complaint from a person we will make up a file containing the details of the complaint. This would only contain the identity of the complainant and any other individuals involved in the complaint.
We will only use the personal information we collect to process the complaint and to check on the level of service we provide. This information will be treated in the strictest confidence.
We will keep personal information contained in complaint files in line with our retention policy. This means that information relating to a complaint will be retained for two years from closure, unless you specifically ask for it to be removed. It will be retained in a secure environment and access to it will be restricted according to the ‘need to know’ principle.
Similarly, where enquiries are submitted to us we will only use the information supplied to us to deal with the enquiry and any subsequent issues and to check on the level of service we provide.
People who work with Hey Me
Hey Me offers various services to businesses, third sector organisations and public sector bodies. We also respond to media requests on behalf of our clients. We have to hold the details of the people who have requested the service or who have submitted an enquiry in order to respond appropriately. However, we only use these details where there are legitimate interests, such as providing the service the person has requested or where required by law. For example, we might use information about individual journalists who have requested information about a specific business to send them news that is of interest to their readers/viewers/listeners.
Withdrawl of consent
If you wish to withdraw your consent for Hey Me to contact you, please send an email to email@example.com or call 07576847637. A record of your request to withdraw consent may still be retained by Hey Me so that we can ensure you are no longer contacted, however we will also remove this from our data storage on your request.
When people do subscribe to our services, they can cancel their subscription at any time and will be given an easy way of doing this.
Sharing your details with clients
We will only share your contact details with clients if you explicitly request us to do so. We may also ask for your consent to share details with your clients if we think it is the best way to answer your enquiry or if we think it will help your business needs.
Under the Data Protection Act 1998 and soon the General Data Protection Regulations (GDPR), you have rights as an individual which you can exercise in relation to the information we hold about you.

Hey Me tries to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously. We encourage people to bring it to our attention if they think that our collection or use of information is unfair, misleading or inappropriate. Hey Me tries to be as open as it can be in terms of giving people access to their own personal information. Individuals can find out if we hold any personal information by making a ‘subject access request’ under the Data Protection Act 1998.

- tell you who it could be disclosed to; and
- let you have a copy of the information in an intelligible form.
