How to Optimise your Communications this Season
Posted by Amy Bell on 20 September 2024

As we head into the latter half of the year, it is time to take stock and reflect on how best to harness your communications going forward. Keep reading to find out how you can refresh and optimise your communications this season to evolve with the market and drive engagement.

1. Refresh your communications strategy

Consider updating your messaging

It may be time to check over and reflect on how your existing messaging is landing and give it a refresh, as the market is evolving, and your business aims or target audience may have altered. Ensure your messaging effectively reflects any changes to your company.

Get to know your audience

It is important to check who you are talking to so that your messages are targeted and relevant. Look at your current audience, does it look like your target audience? How can you tailor your messaging to each of your audiences?

2. Look for upcoming events and awards in your field/industry

Create a calendar with any key dates of upcoming relevant events

Identify which events you and your company could benefit the most from. Then, plan out how you can maximise your attendance at an event – consider possibly exhibiting, speaking on a panel, networking techniques, or sponsorships.

Research awards that recognise areas specific to your company’s subject areas and values

Begin by compiling a list of your achievements over the past year that showcases and champions your company’s successes or key milestones. Start planning your awards applications in good timing.  You may want to consider hiring a PR team to assist you with this, something that we at Hey Me have supported many clients with over the years, with proven success.

3. Consider updating your team on any updates, achievements, and upcoming plans and goals for your company.

  • Think about how you will communicate effectively to everyone and keep your team inspired for what is to come.
  • Be transparent when discussing project progress, industry/market updates, and how they may affect your company.
  • Consider the communication channels, such as newsletters, engaging team meetings/town halls, intranet channels, etc.
  • Encourage your team to communicate and voice their opinions! For larger companies, perhaps consider implementing a survey, or, for smaller companies, a Q&A session at the end of a meeting may be beneficial to you and your team.

4. Strengthen customer and client relationships

  • Ensure you have scheduled client check-ins to review their needs, progress, and to discuss any ongoing projects. This is an important task to do at the end of each year, to inform the communications strategy for the following year.
  • If not already, aim to schedule at least one monthly meeting with each client to discuss both theirs and your progress.

If this is something that you feel your company could benefit from, then Hey Me are here to help. “Since day one, Amy herself has fit seamlessly into our team, understanding the message we want to convey and the audiences we want to reach. Her upfront audit was invaluable in helping us internally hone our common voice, which has demonstrated itself in the consistency of the content we put out as a brand and as individuals within the company. Behind the scenes, Amy has instinctively adopted our internal communication methods (Slack, SharePoint) and works closely with our in-house graphic design team to ensure our graphics and copy are in sync.” Lucy Prior MBE - previously from 3Squared 2021
“After meeting Amy a few years ago, I was able to provide her with an opportunity to manage the comms on a major alliance, alongside Marie from Doodle HR, which she flourished at. Amy helped me to implement a more structured approach, freeing up my time to work more closely with clients and create new content. Hey Me are easy to deal with and quick to provide valuable solutions; I wouldn’t hesitate to work with Amy and the team again” Karen Duncan - Lanehead Coniston
“Working with Hey Me is very straight forward - they take you through whatever process is needed, with clear instruction and good ideas. Since working with Hey Me, Zak Mobility now has a strong brand identity and purposeful website that is fit for purpose. I would recommend Hey Me to other companies, as they do a professional job with a friendly face.” Sam Pearce - CEO, Zak Mobility
“As a member of the RIA SME Leadership team, Amy ran a slimdown version of the Hey Me messaging workshops in 2023. The workshops helped the team to delve deeper into what the SME group stood for, what it meant to them as individuals and businesses and what they wanted to gain from communications. By holding up a mirror to those in the group and using a tiered approach, the group was able to find a common purpose and with Hey Me's help, a common language which best represented the aims of the leadership team and our RIA SME members. The fantastic results of this can be seen in action on our SME page of our website.” Isabella Lawson - Railway Industry Association
